Open Products → Simple Scheduler and select the scheduler you intend to edit. Most settings pages have their own Save action; saving one tab does not save unsaved work on another tab.
If your team has no scheduler to select, contact Avoca Support before continuing.
1. Set appearance and general behavior
On Appearance, configure the primary color, logo, logo background, and footer links.
On General Settings, review the customer-facing name, contact phone, dispatch fee behavior, lead time, exact-time display, step labels, prompts, scheduling message, completion message, and analytics tracking.
Keep customer-facing text short and specific. Explain whether an appointment is confirmed immediately or requires follow-up.
2. Define service types
Open Service Types.
- Add each service customers can choose.
- Enter its name and optional description, duration, and price.
- Mark a service unavailable only when it should remain visible with an explanatory message.
- Drag services into the desired order.
- Save.
Use General Settings and the available booking-window controls to confirm how the selected service maps to appointment availability.
Use Questions for information required during booking. Configure the answer type, options, and applicable service types for each question.
Use Post-Booking Questions for optional details that help after the appointment is created. Do not move a required eligibility question to the post-booking step.
Use Ownership when booking depends on homeowner or property-ownership confirmation.
Open Compliance to configure:
- Consent checkboxes and their labels
- Legal disclaimer text
- Privacy Policy URL and label
- Terms & Conditions URL and label
Have the appropriate owner review legal and consent language before publishing it.
Open Tags when the scheduler sends bookings to ServiceTitan.
- Required tags are the tags a customer must select from to continue booking.
- Conditional tags are applied when the booking details match the associated additional-question logic. Configure those questions under Questions.
The selected tags are combined and sent with the booking. Test the completed ServiceTitan record after changing either list.
6. Create links and UTM tracking
On Links, use the Links tab to create Bitly short links from existing Simple Scheduler URLs. Enter a display name and scheduler URL; an optional custom path can contain 1–30 letters, numbers, or hyphens. Refresh click counts when reviewing link performance.
Use the UTM tab to:
- Set the customer website used for links that open the widget on your site
- Choose the default ServiceTitan campaign for bookings without a more specific mapping
- Create scheduler links with UTM parameters and map them to ServiceTitan campaigns
- Configure UTM inheritance precedence when that option is enabled
- Test how a URL resolves before publishing it
- Copy the generated scheduler URL, customer-site URL, short link, or embed instructions
Use short identifiers such as google, email, or spring-campaign as UTM values. Do not enter a full URL or include ?, &, or = inside a UTM value.
On API Keys:
- Create a scheduler-specific widget key, or activate the intended existing key.
- Add every website domain that is allowed to load the widget, one per line. Entries can include the root domain, a subdomain, or a wildcard such as
*.example.com.
- Copy the recommended manual-mode snippet to use your site’s own button, or copy the default-button snippet.
- Give the generated snippet to the person who manages the website.
Avoca-managed default domains are included automatically. Deactivating a key stops it from powering the live preview and website embeds. Do not reconstruct or edit the widget URL by hand; the generated script includes the correct key and current widget host.
Open RwG when your scheduler should appear on Reserve with Google.
- Save other pending scheduler changes before adding a location.
- Add each business location with the exact Google Business Profile name and address.
- Resolve any mismatch shown during Google Maps validation and confirm the location is Verified.
- Enter the shared service category.
- Fix every flagged service description under Service Types. Each offered service needs a description of no more than 2,000 characters without emojis or promotional language.
- Turn on RWG Status and save.
At least one verified location, a service category, and valid service descriptions are required before RwG can be enabled. Google updates can take up to 24 hours after enabling, disabling, or removing a published location.
Deleting the only location from an enabled scheduler stops its Reserve with Google feed. Confirm the replacement location before deleting the current one.
9. Test end to end
- Use the dashboard preview to complete each service path.
- Test desktop and mobile layouts.
- Confirm unavailable services and validation messages.
- Submit a controlled booking.
- Verify the CRM job, campaign, tags, questions, and appointment time.
- Open Simple Scheduler → Overview and confirm the session and booking.
- Test tracked links and confirm the expected UTM values and ServiceTitan campaign.
- Load the widget from every allowed production domain.
- If RwG is enabled, confirm its managed row under Links → UTM and verify the listing after Google’s update window.
A preview that renders correctly does not prove that a CRM booking, domain restriction, or tracked website button works. Complete an end-to-end test from the actual website before launch.
