# Track bookings and follow up

> See how your scheduler is doing, where bookings come from, and who to follow up with.

Once your scheduler is live, use these pages to see what's working.

## See how it's doing

Open **Products → Simple Scheduler → Overview**. Pick a scheduler and a date range.

| Number | What it means |
| - | - |
| **Sessions** | People who opened your scheduler |
| **Bookings** | Appointments that were booked and created in your CRM |
| **Conversion Rate** | Bookings out of all sessions |
| **Lead Conversion Rate** | Bookings out of people who gave you their contact info |
| **Fully Recovered Conversion Rate** | Bookings plus people you won back after they left, out of all sessions |
| **Avg Booking Time** | How long a booking takes, start to finish |

Below the cards, charts show where people drop off, which services they ask for, and which sources send the most traffic. The **Google Ads** tab shows the same for visitors who came from your ads.

## Follow up on people who didn't book

Open **Customer Details**. It lists everyone who gave you their contact info, whether they booked or left.

1. Use the filters at the top to narrow by status, source, or follow-up.
2. Search by name, email, phone or address.
3. For each person, choose a follow-up status: **Contacted**, **Recovered**, or **Not a Lead**.
4. Select **Export CSV** to take the list into a spreadsheet.

**Not a Lead** takes someone out of your conversion numbers, so use it for spam and tests.

### Text people who leave before booking

When someone enters their phone number and leaves without booking, Avoca can add them to **Speed to Lead**. Speed to Lead reaches out to them by text to help them finish booking, so you don't have to chase each one.

To turn this on, ask your Avoca team to set up the **Simple Scheduler Dropoff** source in Speed to Lead.

## Track where bookings come from

Open **Links**.

**1. Add your website**

On the **Tracking** tab, enter your website address. Avoca uses it to build links that open your scheduler on your site.

**2. Choose a default campaign**

Pick a campaign in **Default Campaign** and select **Save**. Any booking without a more specific link uses it.

**3. Make a link for each source**

Select **Create link** in the links table. Give it a name, then fill in the UTM values and pick the campaign it should count toward.

Use short, simple values like `google`, `email` or `spring-offer`. Don't paste a full web address into a value.

Select **Embed instructions** to get the code for your site, or use the test button to check which campaign a link will match.

**4. Make a short link to share**

On the **Links** tab, select **Create Link** to make a short link, then copy it.

## Get alerted

* **Employee emails:** in **Business Info → Employee Contacts**, turn on **Scheduler emails** for anyone who should be emailed when the scheduler books or changes an appointment.
* **Drop-off emails:** in your email notification settings, turn on **Send emails for scheduler dropoffs**.

## More options

> **See what happened in one visit**
>
> On **Overview**, select a visit to see each step the customer went through, with a time and result for each: **success**, **warning**, **error** or **skipped**. It shows how the service was matched, which times were offered, and whether the booking reached your CRM.
>
> If it says some times were found "before filtering", your CRM returned those times but your lead time, cutoff or capacity rules removed them.

> **My numbers don't match**
>
> Customer Details loads only the most recent 5,000 visits, so on a busy account its counts can trail the Overview tab.
